For many trainers, obtaining HRD Corp Trainer Accreditation is an important milestone. However, accreditation is not permanent. It is valid for three (3) years, which means trainers will eventually need to renew it to maintain their accredited status.
If your accreditation is approaching its expiry date, understanding the renewal process early can help you avoid unnecessary stress and ensure a smoother submission experience.
Understanding the Timeline
The first thing to note is that HRD Corp Trainer Accreditation is valid for three (3) years from the date of approval.
Trainers are required to submit their renewal application at least three (3) months before the accreditation expiry date. Waiting until the last minute may result in unnecessary complications, so it is advisable to keep track of your accreditation validity period and plan ahead.
The Primary Route
For most trainers, renewal is done through Accreditation by Activity.
To qualify, trainers must accumulate a minimum of 360 training hours within the three-year accreditation period.
These training hours must be supported by documentation. Trainers are required to submit at least two (2) of the following:
- Participant attendance forms
- Participant feedback forms
- Acknowledgement letters from training providers or employers
- Proof of payment for training conducted
The purpose of these documents is to verify that the declared training hours were genuinely conducted during the accreditation period.
Additional Requirement for Team Building Programmes
Trainers conducting team-building programmes are required to provide additional documentation:
- Course Outline and Session Plan
- Evidence of a 50:50 ratio of indoor and outdoor activities
Ensuring these documents are available beforehand can help avoid delays during the renewal process.
Submitting Your Renewal Application
Applications are submitted through the TDMS system.
Once the required training hours and supporting documents have been prepared, trainers can:
1. Log in to TDMS
2. Upload the supporting documents
3. Pay the RM60 submission fee
4. Submit the application
One useful feature of the system is that trainers do not need to wait until all 360 hours have been completed before uploading documents. Supporting evidence can be uploaded progressively after training sessions are conducted, or after every 120 hours completed within a 12-month period, or all at once before submitting the renewal application. Choose whatever works best for you.

What If You Do Not Meet the 360-Hour Requirement?
Not every trainer will accumulate 360 training hours within the three-year validity period.
For trainers who do not meet this requirement, HRD Corp provides an alternative route known as Accreditation by Assessment.
This process is similar to the assessment undertaken during the initial accreditation journey after completing the Train-the-Trainer (TTT) Certification Course. The assessment serves as an alternative method for demonstrating competency when the required training hours cannot be fulfilled.
Renewing your accreditation is generally straightforward when planned early. Keep proper records, maintain supporting documents throughout the accreditation period, and monitor your training hours regularly.
